The Exhibition and Events Association of South Africa (EXSA) has expressed serious concern over the extremely short lead times provided by South African Tourism (SAT) for three recent Requests for Quotation (RFQs) related to the upcoming World Travel Market (WTM), IMEX America & IBTM World event.
The RFQs were issued late on a Friday afternoon with a submission deadline set for the following Wednesday — leaving industry stakeholders with less than three working days to prepare and submit professional proposals. EXSA believes this timeline is not only unrealistic but also undermines the quality and competitiveness of South Africa’s representation at such a high-profile international event. Furthermore, it does not allow South African companies sufficient time to compete with international companies that also submit bids for the above-mentioned tenders.
“Tourism is a vital pillar of our economy, and how we present ourselves on global platforms like IMEX matters deeply,” said Sibusiso Mncwabe, EXSA Chairperson. “Our members are committed to excellence, but they need sufficient time to deliver proposals that reflect the professionalism and creativity our industry is known for.” EXSA warns that rushed processes could lead to substandard outcomes, which may negatively impact South Africa’s image and credibility in the global tourism market. The association is calling for greater transparency and more reasonable timelines in future procurement processes. “We urge SA Tourism to engage with industry stakeholders proactively and collaboratively,” Mncwabe added. “We are ready to meet and discuss how we can work together to ensure South Africa is represented with the quality and professionalism it deserves.”
EXSA remains committed to supporting its members and advocating for best practices that uphold the integrity and reputation of South Africa’s exhibition and events industry.
