Type of event
Consider what kind of meeting or event you are having before choosing your venue. If its a very corporate event, then your venue should obviously reflect this.
If you wine and dine your delegates well, then the type of venue probably probably won’t matter! Ensure your guests have enough to eat and drink, and if needed, do a tasting session with the chef to ensure the food is of the right calibre and the menu also offers vegetarian options. Keep dietary requirements in mind as well.
Seating style
It’s no use booking a conference room to accommodate that can fit 250 people for a group of 20 people. Likewise, booking a smaller room to accommodate more people than it can actually hold just to save money, may find you ending up with a lot of disgruntled associates – especially if its summer and the aircon cannot cope.
Parking costs
If the meeting venue is charging for parking then make sure your guests know this before they arrive on the day. It can be a huge inconvenience, especially for those who just carry around credit or debit cards and not cash, and you can end up with grumbling colleagues. Where possible always choose a venue with free on-site parking for minimum hassle.
Accommodation
If your meeting or conference is going to run for a few days, what could be better than for your delegates than overnight accommodation with free, unlimited Wi-Fi facilities? Choose a hotel with adequate conference and training facilities to kill two birds with one stone, and save on transport. Usually when booking conferencing space, food and accommodation, you will also be in a more likely position to negotiate rates down to better suit your budget.
